An AI-powered weekly review is a 25-minute calibration session split between the founder and a model. Ten minutes captures the week’s data, five to eight metrics that already matter to the business. Ten minutes is a structured conversation with Claude or ChatGPT that asks the model for trends, correlations, and anything that contradicts the founder’s intuitions. Five minutes sets two or three specific constraints for the week ahead.
The lineage is David Allen’s GTD weekly review from the early 2000s, which put structured review at the centre of personal productivity for a generation. The shift is that the second voice is now an AI partner holding four weeks of metrics in view at once, rather than a peer mastermind, an executive coach, or the founder’s own working memory, which the canonical research says cannot hold the picture cleanly.
Why does this matter for your business?
Because a founder running a structured weekly review is making fifty-two course corrections a year against reality, and a founder reviewing only at the quarterly board meeting is making four. The gap compounds. By month six, the founder running the weekly cadence has spotted the cyclical pattern in deal close rates that the quarterly founder will not notice until December, and by which point the year is largely set.
Anders Ericsson’s deliberate-practice research is the underlying mechanism. Expertise in any complex skill, including the meta-skill of running an SME, comes from feedback-rich repetition, not from years of raw experience. Where will you actually meet it?
In a 25-minute slot on a Monday morning or a Friday lunchtime, anchored to a place that is not your normal desk. Founders who sustain the practice past twelve weeks tend to anchor it to a specific coffee shop, a meeting room, or a kitchen table on a day the house is empty. The location consistency, paired with the time consistency, is what BJ Fogg’s tiny-habits research shows holds the rhythm.
The first ten minutes is data capture. Five to eight metrics on a single page or in a Google Sheet, four weeks of rows. For a services firm, that is typically revenue this week, pipeline value, team utilisation, hours worked, and one customer signal. If capture takes longer than five minutes, the metrics are wrong.
The second ten minutes is the AI conversation. Paste the four weeks into Claude or ChatGPT and prompt with something close to this:
Below are my last four weeks of metrics. Read it as a pattern audit. Tell me what is trending consistently, what correlations you notice, and what contradicts my intuitions. Be specific, name the weeks. Do not recommend changes. Just describe what is there.
The model might note that pipeline is down 17% across the month while hours worked are up by six, suggesting non-delivery work is expanding without replacing the deals leaving the pipeline. It might note that revenue is stable despite the pipeline drop, a forward-indicator warning rather than a present-tense problem.
The final five minutes is yours. Two or three specific constraints for the week ahead, written in the same place the metrics live. Not “focus on pipeline” but “ten hours on new business development, all before Wednesday lunch”. Specificity turns insight into behaviour change. The review is valuable only to the extent that it produces commitments that change the next seven days.
When to ask the AI vs when to do it solo
Use the AI for the pattern-recognition step, every week. That is the cognitive job humans are demonstrably worst at, holding multiple data streams in mind at once and sorting signal from noise. Kahneman’s System 1 and System 2 framing is the underlying reason. The System 2 effort to scan four weeks of metrics manually is expensive enough that the typical founder slips back to System 1 inside ninety seconds and misses the cluster.
Do the constraint-setting step solo. The model can describe what happened. It cannot tell you which patterns matter to your business model, which are residue from a different season of the firm, and which are correlations masking a different cause.
